A new medical practice needs about 40 things wired correctly before day one, and HIPAA is riding on 15 of them. We build the network, provision the endpoints, wire up your EMR, segment the imaging equipment, and hand over documented encryption controls your compliance officer can hand to an auditor.

THE SITUATION

You're opening a new practice or expanding into a second location. The lease starts in six weeks. Your EMR vendor sent a network-readiness PDF that assumes you already have someone technical on staff. The imaging equipment vendor wants a dedicated VLAN and won't say why. Somewhere in the buildout schedule someone needs to also make sure PHI encryption is verifiable, business-associate agreements are signed, and the front-desk workstation locks after 90 seconds of inactivity.

The general contractor is not going to handle this. The EMR vendor will do the minimum to get their software running and then leave. You need a technology partner who's actually done a medical buildout before and knows what the auditor is going to ask.

Kick off with your EMR vendor
Practice management platforms (eClinicalWorks, Athenahealth, Epic Community Connect, Dentrix, Open Dental, Curve Dental) each have specific network, endpoint, and security requirements. We loop in your EMR vendor early, translate their PDF into an actionable plan, and take ownership of the network + endpoint + encryption pieces they won't touch.

Cable, VLAN, and segment properly
One VLAN for staff workstations, one for imaging equipment (CT, X-ray, ultrasound, intraoral cameras), one for BYOD/guest, one for medical devices that need to phone home. Firewall rules that follow least-privilege between them. Documented.

Endpoint + identity, HIPAA-appropriate
Full-disk encryption on every device (FileVault + BitLocker), MFA on every account, 90-second screen lock enforced by policy, EDR on every endpoint, USB-storage blocked on clinical workstations. All auditable via the management plane.

Backup + business continuity
Encrypted backups of EMR data (either the vendor's cloud or your own), retention that matches your record-retention policy, tested restore quarterly. If your EMR goes down mid-day, you have a documented plan and a real RTO.

Documentation for the auditor
Network diagram, VLAN plan, encryption evidence, access control policy, incident response plan. The specific artifacts a HIPAA audit will ask for, delivered as living documents you can hand your compliance lead.

HOW THE ENGAGEMENT WORKS
This is project work

New-office buildouts are project-priced, not managed. We scope after a walkthrough and quote a fixed number so your CapEx budget is knowable. Ongoing managed support is optional and priced separately.

Timeline

From lease signing to move-in-ready: typically 4-8 weeks. Longest lead item is usually the ISP install; we book it early. Cabling is 1-2 weeks depending on exam-room count. Endpoint provisioning is parallel and mostly automated.

Rough cost

A typical 6-exam-room practice buildout is $25-60k depending on square footage, cabling scope, and endpoint count. Larger multi-provider practices and multi-location rollouts scale from there. We quote the specific number after the walkthrough.

Have you done EMR-specific integrations before?
Yes — eClinicalWorks, Athenahealth, Dentrix, and Open Dental are the ones we've done most recently. If yours isn't on that list, we can still handle it; the vendor coordination pattern is similar.
Are you a HIPAA-covered entity? Do you sign BAAs?
As a business associate, yes. We sign a HIPAA business-associate agreement (BAA) before touching any environment where PHI is present. Standard part of the engagement.
Can you handle imaging equipment installs?
Yes — CT, X-ray, ultrasound, intraoral cameras. Usually coordinated with the vendor's field engineer for physical install; we handle the network side (VLAN, DICOM traffic segmentation, PACS integration if applicable).
What about ongoing support after the buildout?
Optional managed plan covers day-to-day support, endpoint management, security monitoring, and HIPAA controls maintenance. Priced separately from the buildout.
Do you work with dental practices as well as medical?
Yes. Dental IT has its own quirks (imaging vendor consolidation, practice management vs. EMR) but the buildout pattern is nearly identical.
